Event registration (online) template

Use this activity type to collect attendee details and manage sign-ups for online events

The event registration templates include preset attendee questions so you can quickly collect the information you need.

Examples activities you may use this template for include: 

  • webinar registrations
  • virtual workshops
  • online meetings
  • online training sessions

Key things to know

  • You can set a maximum number of registrations.
  • All registrants will receive an automated email confirmation of their registration.
  • 'Save and return' functionality is switched off for this template.
  • Publish results, We Asked, You Said, We Did and response publishing are not available in this template.

Preset attendee questions

Questions included:

  • Name (required)
  • Organisation
  • Email (required)
  • Phone number
  • Please let us know if you have any accessibility requirements

These questions can be edited, moved or deleted.

Building your activity: Event details

We have added a new section in the Design and Build dropdown menu called Event details

This section is important because:

  • The title / description / date / time / link entered here feeds into a .ics calendar link. This link is available on your dashboard in the 'Countdown to event' block, and on the Thanks page of the registration form for the registrants.
  • The date and time entered will automatically populate on the Overview page. The date, time and event link will automatically appear on the Thanks page, and on your dashboard.
  • The date and time are used by the 'Countdown to event' block component on the dashboard. You can also edit the event date and/or time as well as download a .ics calendar link directly from the dashboard.

Maximum number of attendees

You can set the maximum number of registrations.

To set a limit, use the 'Edit' link on the Total registrations block.

  1. You can then set the total number of event places available, or leave blank if there is no maximum registrations limit.
  2. There is the option to show a message in the call-to-action box on the Overview page if there are 5 or less places available.
  3. You can also use the default message if no places are left or set a custom message. This message will appear in the call to action box on the Overview page if the event is fully booked.

You can change the registration limit without retracting the activity. You can also add registrations manually to override the limit, if you want to add additional registrants without increasing the total registrations limit.

Respondent journey is tailored for event registrations

Overview page

  • Event date and time auto-populates in the sidebar (when added to the Event details section) making it very clear when the event takes place.
  • Activity open and close dates have been removed from the sidebar on the Overview page, but still control when your registration form is open or closed. These dates remain visible to the admin on the dashboard so there isn't any confusion with multiple dates being presented. If you want to include the closing date, then include it in the Overview page text.

Thanks page

  • Calendar .ics link to quickly add event to a calendar.
  • Event date, time and joining link are automatically pulled onto that page - no need to enter it again!
  • Sign up again link which takes the respondent back to the start in case they want to register multiple people.
