Response publishing - how to assign moderators

This article explains how to assign moderators to help with publishing responses on your Citizen Space site. Please speak to your customer success manager if you are interested in learning more about response publishing.

There are a number of user permission levels in Citizen Space. For any user permission other than Site Admin, if you want your user to be able to moderate response data then you may need to give them specific analyst access.

  • Analyst-only users have no activity-creating rights and can't see anything in the site, so they need to be assigned as analysts to any consultation or survey you want them to help moderate.
  • Individual admins (the most common user-permission level) can only see and access the response data in an activity if they are the owner. If they are not the owner, they would need to be assigned as analysts to any consultation or survey you want them to help moderate.
  • Department Admins can see, access, and moderate the response data for any activity in the same department as them. If the consultation or survey you want them to help moderate lives in a different department, then they would need to be assigned as analysts to it.

How to assign users as moderators to a specific consultation or engagement activity

To assign moderators, you follow the same steps as if you are assigning users as analysts to the activity. 

  1. Go to the dashboard and select Manage Analysts.
  2. You will see a list of all the users with registered profiles on your site and can choose who you wish to assign as an analyst/moderator by using the tick boxes and then selecting Save Changes.

The next time they log in, anyone you've assigned as an analyst/moderator will be able to access the activity by going to the 'Analyse Activities' link in the dark blue bar at the top of the screen. This heading will only appear for users who have been assigned as an analyst to at least one consultation or survey.

Note: If the moderator you have in mind doesn't have a Citizen Space user profile, they will need be added as a user first. Find out how to add analyst-only users.

How to remove a user's moderator access for a specific consultation or engagement activity

You can remove a moderator's access to an activity by going to the dashboard and selecting Manage Analysts, unticking the box alongside their name and then saving.

Tips for managing multiple moderators working on the same activity

If multiple admins moderate the same response at the same time, there is a risk that someone’s work could be overwritten by another moderator. (Whoever saves last will win that fight!) With that in mind, if you've got than one person involved in moderation on the same activity, we recommend divvying up the work so they can avoid overlapping with one another.

You could export the ‘Download all responses’ spreadsheet and assign a batch of responses to each analyst, for example: Natalie to moderate responses 1-100, Pedro to moderate responses 101-200, etc.

Alternatively you could agree to carry out moderation work at different times, for example: Natalie to moderate in the morning, Pedro to moderate in the afternoon.
