Analysis and reporting tools
This article gives a basic overview of the analysis and reporting tools available for online responses collected in Citizen Space.
The dashboard for online surveys allows you to access quick headline stats at any stage of the process. You'll find:
- A PDF summary report: this can be used to track the progress of an open survey, or to see an overview of a closed survey’s outcomes. It includes top line response numbers for each question, as well as tables and charts showing the spread of any quantitative responses.
- A .docx summary report: this includes topline figures for the survey and for each question, as well as tables and charts showing the spread of any quantitative responses.
- Detailed analysis functions: these allow you to access more detailed information on submitted responses. You can view responses in full, clean up data and tag (or code) responses.
With regards to analysis and reporting tools, we’ll be looking at:

Analysis of responses
Analysts can go through submitted responses when a survey is open and/or when it closes, making notes and tagging (or coding) qualitative answers to allow for quantitative reporting.
Top-line numbers
At all times, the dashboard shows the number of complete responses received, and the percentage of responses that have been analysed.
Querying and reporting
You can query responses on a per-respondent basis (for example, 'Show me all respondents who answered yes to question 1') or on a per-question basis (for instance, 'Give me a breakdown of all responses to question 2'). Filtering and grouping gives you greater insight into your response data and helps you to identify key themes.
Download filtered summary reports
You can apply filters and set display options from the 'Responses Organised by Question' section to only include the data you're interested in within the summary reports. You can download the filtered summary reports in either a .docx or PDF format.
Exporting raw data
There are 2 .xlsx exports of responses:
- 'Download all responses'
- 'Download all responses including analyst fields'
These spreadsheets include the full data submitted by respondents, plus metadata such as submitted date and time, last modified date, pages visited, response ID, and so on. In the export including analyst fields, this includes any tags (codes), analyst notes, and answers to analyst-only questions that you may have added in the 'Analyse responses' or 'Manually add a response' sections in Citizen Space.
These exports allow those who prefer to analyse their responses directly in Excel or in dedicated external statistical programmes such as SPSS to do so easily.
Exporting response publishing data
If you have response publishing enabled, there are 2 additional .xlsx exports available:
- Download approved responses with redactions
- Download published responses with redactions
These exports include the response data to questions selected in the response publishing settings for the individual survey.
The approved responses export will include response data that is automatically approved during moderation (quantitative components) and response data that has been manually approved during the moderation process, but has not been published. The export will show the redacted versions of the responses along with the unique ID and submitted date and time.
The published responses export will include the response data that has moved through the moderation process (both automatic and manual approval) that is now published. The export will also show the redacted versions of the responses along with the unique ID, submitted date and time, and the link the published response.
Publishing results and reports
Results, findings and reports can be added to the Overview page, and will be published after the survey is closed. You can add your findings directly to the 'Publish Results' or 'We Asked, You Said, We Did' sections of the dashboard, and/or attach them as files there for visitors to download.
