How to access file uploads to a Citizen Space activity

There are several places in Citizen Space where you can access files that have been uploaded to Citizen Space via a file upload component in your survey.

You are able to access file uploads through the following:

Download them all in a ZIP file

On the activity's navigation bar, go to the dropdown menu Responses and select Downloads and exports. On the page, there is a section 'Respondent-uploaded files' and a link to 'Download all files (ZIP)', which allows you to download all of the documents received to this activity in one go.

If you select this button, a ZIP file will automatically download to your device. Within the ZIP file there will be a folder per response, with the relevant Response ID number (e.g. ANON-XXXX-XXXX-X) in each folder name, and each folder will contain all of the documents uploaded as part of that particular response.

In each individual response

At the top of the dashboard, go to the dropdown menu 'Responses' and select 'View responses'. The first page shown by default is 'Responses by respondent' (though if you already happen to be looking at another page in the View Responses section, you can also reach the 'Responses by respondent page from the left-hand side menu).

In the 'Responses by respondent' page, go into an individual response by selecting its hyperlinked Response ID from the table list. You will see that alongside each reporting field heading for any file upload components there is a link that says 'Download response'. The size of the uploaded file is also visible from this view. Selecting this link will automatically download the file to your device.

Please note that in this example screenshot, I gave my file upload component the reporting field heading 'File upload - supporting documents:' so it would be easy to spot for demonstration purposes.

When analysing responses

At the top of the dashboard, go to the dropdown menu 'Responses' and select 'View responses'. Then, from the left-hand sidebar menu, select 'Analyse and tag'.

Use the controls in the yellow bar across the top of the screen to move between responses or the 'Jump to response...' button to navigate to a particular response. Scroll down until you see the question with the file upload component. You can download the file from the 'download file' link. Selecting this link will automatically download the file to your device.

In your .xlsx exports

At the top of the dashboard, go to the dropdown menu 'Responses' and select 'Downloads and exports'.

At the top of that page, if you select either 'Download all responses (XLSX)' or 'Download all responses including analyst fields (XLSX)'*, you can export all your response data for this particular activity in one spreadsheet. This will include a column for each file upload component, in which you will see a URL. If you copy and paste the URL into your browser, that particular file will automatically download to your device.

*Note: If the file upload component was set up as analyst only, the links to the files will only appear in the 'Download all responses including analyst fields' export.
