Restrict data exporting to certain users

In Citizen Space, you are able to request a restriction on which internal users can export data from your site.

The default setting is that all users have the ability to export data if they have access to the activity.

You have the option to restrict data exporting so it is only available to Department and Site admins, and disabled for Analysts and/or the Activity owner (Individual admins).

Your Delib customer success manager will be able to set this up for you if you email us via our support email. The rest of this article details how this affects users who are no longer able to export data.

What does this mean for users who cannot export data from Citizen Space?

Users who don’t have permissions to export data will no longer have these options visible to them on the dashboard, they’ll need to make this request to someone with permissions.

The following options in the ‘Responses to this Activity' section of the dashboard will no longer be visible:

  • ‘Download summary report (PDF)’
  • ‘Download summary report (DOCX)’
  • ‘Download all responses’
  • ‘Download all responses including analyst fields’

Responses Organised by Question

If you navigate to the ‘Responses by Question’ page, you’ll still see the options to ‘Download filtered summary report (PDF)’ and ‘Download filtered summary report (DOCX)’, however, if a user without data exporting rights attempts to select these options, they’ll get an ‘Insufficient Privileges’ error message.

Additionally, if you select any of your activity questions in the ‘Responses by Question’ page, the option to export the results to a .xslx download link will not be visible to you.

Responses Organised by Respondent

With regards to the ‘Responses by Respondent’ page, users will not have visibility to see any of the exporting options, including the option to download a PDF copy of a respondent’s answers.

‘Responses by Respondent’ page for users who don't have access to export data There is no column to download individual response pdfs.

All other options on the dashboard, ‘Responses by Question’ page and ‘Responses by Respondent’ page will still remain available to these users.

If you wish to re-enable exporting privileges for Analysts and/or Activity owners, you can contact your Customer Success Manager who can enable this.
