Restricting activity publishing to certain user permissions

In Citizen Space, on your request, we can restrict the ability to publish activities to certain levels of admin user.

The default setting in Citizen Space is that Site Admin, Workspace Admin, and Activity Owner / Admin, can publish their activities. You can find out more about what the different types of admin user can do in this article, which has a handy table of permissions.

If you wish to restrict publishing to only the higher-level permission users, we can set it so that:

  • Only Workspace Admin and Site Admin users can publish, or
  • Only Site Admins alone can publish

Your Delib customer success manager will be able to set this up for you if you email us via our support email. The rest of this article details how this affects users who are no longer able to publish their activities.

What does this mean for users who cannot publish their activities?

For any level of admin that you have blocked from publishing activities, they will:

  • Have a warning symbol next to the Publish / Draft button, which will be yellowed out. If the user selects these buttons, they will be informed that they cannot publish or retract this activity because they do not have permission to publish or retract this activity, and to 'please contact your site admin'.
  • Need to request that a Site Admin publishes their activity (or a Workspace Admin if you have allowed them to publish activities, too).
  • Not have access to the 'Build activity', 'Settings', 'Related content', or 'Events' sections of the activity once it has been published by someone with publishing permissions.
  • Still have access to all the sections under the 'Responses' section of the activity navigation bar, meaning they can still publish:
    • The results of their activity
    • We Asked, You Said, We Did details and
    • If you are using Response Publishing, any responses which have been approved for publishing.
