Filtering - what can I filter responses by?
We have an article that covers how to apply filters - read that one if you would like more detail about how to apply filters to your response data. This article lists the different things you can filter by, and at the end, explains how to download a filtered report into PDF or .docx.
Responses can be filtered by the following:
Filter your responses by one or more of the answer options to a question with a quantitative answer component.
For example, if you have a question with response options of 'Yes', 'No' or 'Don't know', you can apply a filter to enable you to see only the responses that answered 'Yes', or 'No' or 'Don't know', or a combination of those.
Filter by 'not answered'.
If you select 'not answered' in the 'Filter Responses by question' section, this enables you to only see the responses for those that didn't answer. From here you can select the coloured bar in the chart and that will take you to a list of the full responses for those who did not answer the question selected.
Filter by tags.
Once any tags have been applied to a question, these can be used to filter responses.
Filter using a keyword search in your analyst notes.
Once any analyst notes have been applied to a question, these can be used to filter responses by keyword search.
Filter by whether a file upload answer component has been answered or not (and therefore if a response has a file uploaded to it or not).
For example, a filter can be applied to show only responses with or without files uploaded. A more in depth use case might be to apply a number of filters to narrow responses right down, and then view any files uploaded. The screenshot below will enable analysts to easily access any uploaded files for respondents who have said that they are interested in developing a site for residential purposes only.
Filter by Response ID.
If you know the Response ID, or part of it, you can use the keyword search to find that response.
Filter by the date responses were submitted.
If you are interested only in responses gathered during a specific time period, you can filter responses by the date they were submitted. Select ‘Submitted Date’ from the list of ‘Additional filters’ at the bottom of the filter dropdown menu and then ‘Add filter’. You can set a start date and an end date as your filter, and your results will include only the responses received between those two dates.
Filter by whether a response has been analysed or not.
Filter by which pages of your activity a respondent visited while submitting their response.
This is particularly useful for skip logic surveys, in which respondents will only see certain pages depending on the route they have taken through the activity. Select ‘Visited Pages’ from the list of ‘Additional filters’ at the bottom of the filter dropdown menu and then ‘Add filter’. In the filter box you will now see checkboxes corresponding to each page in the activity. You can select the checkboxes to filter by one or more of these pages.
Filter with geospatial data
If you have Citizen Space Geospatial, you can narrow your results by drawing a 'filter area'. This allows you to only show responses which are located inside a specific geographical region. Find out more about filtering with geospatial data.
Download filtered summary PDF or .docx report
Once you have applied any of the filters detailed, you can export a filtered report into PDF or .docx from 'Responses Organised by Question'.
